Privacy Policy Music City Touring Vans LLC operates musiccitytouringvans.com and rents vans and trailers from our lot at 915 6th Ave South, Nashville, TN 37203. This policy explains what information we collect, why we collect it, and what we do with it. We are a small business. We collect what we need to rent you a vehicle safely and legally, and nothing beyond that. We do not sell your information. Information You Give Us When you contact us, request a quote, or book a rental, you may give us: Your name, email address, phone number, and mailing address. Your rental dates, group size, destination, and what you plan to haul. Driver information required by our rental contract, including driver’s license details and proof of personal insurance. Payment card information used to place a deposit or pay for a rental. Anything else you choose to tell us in an email, text, or phone call. You do not have to give us any of this. But we cannot rent you a vehicle without the driver and payment information, because our contract and our insurance require it. Information Collected Automatically Our website is built on Squarespace. Like most websites, it records basic technical information when you visit: IP address, browser type, device type, and operating system. Which pages you viewed, how long you stayed, and which site referred you. Cookie identifiers used to keep your session and cart working. We also use Google Analytics to understand how people find and use the site. Google Analytics sets its own cookies and processes this data under Google’s privacy terms. It tells us things like which pages are popular and which searches bring people in. It does not tell us who you are. Most browsers let you block or delete cookies in their settings. Blocking cookies may stop the booking and cart functions from working properly. Payments Payments and deposits are handled by a third-party payment processor through our website and our card terminal. We keep a credit card on file for the duration of a rental, as our contract requires, because the renter is financially responsible for damage to the vehicle. Full card numbers are held by our payment processor under their own security standards, not stored in our email or on our website. Who We Share Information With We do not sell your information, rent it, or trade it. We share it only where it is necessary to run the business: Service providers who operate our website, booking system, payment processing, and email. They may only use your information to provide those services to us. Our insurer and AAA, where a claim, breakdown, or roadside call requires it. Law enforcement, toll authorities, and government agencies, where we are legally required to respond, or where a vehicle we own is involved in a citation, toll, accident, or investigation. Professional advisors such as our accountant or attorney, where needed. How Long We Keep It We keep rental contracts, payment records, and related correspondence for as long as we need them for tax, accounting, insurance, and legal purposes. We keep quote requests and general enquiries for as long as they are useful for serving you, and then delete them. If you want your information removed and there is no legal reason for us to keep it, ask us and we will take care of it. How We Protect It We limit access to your information to the people who need it to do their job, and we rely on the security measures of the platforms we use for our website, booking, and payments. No system is perfect and we will not pretend otherwise, but we take the handling of driver and payment information seriously. Your Choices You can: Ask what information we hold about you. Ask us to correct anything that is wrong. Ask us to delete information we no longer need to keep. Tell us to stop contacting you for anything other than an active rental. Travel Outside The United States We are a Tennessee business, and our records are held in the United States. Canada is currently the only destination we permit outside the US. If you contact or rent from us from outside the United States, your information will be transferred to and held in the US. Children Our website and our rentals are for adults. We do not knowingly collect information from anyone under 18. If you believe a child has given us information, email us, and we will delete it. Links To Other Sites Our site links to our social media pages and to Google Maps for directions to the pickup lot. Once you leave our site, those companies’ privacy policies apply, not ours. Changes To This Policy If we change how we handle information, we will update this page and change the effective date at the top. Continuing to use the site or rent from us after a change means you accept the updated policy.
