Multi-city runs are what this fleet is set up for.
Still deciding which van to take?
A touring band van rental covers the fleet and what fits each size of party. Everything below is about the run itself.
How It Works
How a Tour Van Rental Routing Works From Nashville
Every van leaves from Nashville and comes back to Nashville. No one-way rentals, no drop in another market.
That one rule shapes a routing more than anything else here, so build the run as a loop.
A Southeast swing, a Midwest circle, a Texas leg and back all work. A one-way relocation to the coast does not.
Inside the loop, drive as far as the dates require. NO MILEAGE FEES!
A 4,000-mile routing and a 900-mile routing cost the same per day.
Out-of-state travel is allowed. Canada is the only international destination we permit, so if the run crosses the border, say so when you book.
Rentals are first come, first served. The week the routing is confirmed is the week to book the van.
Tour Van Rental Driver Requirements for Overnight Legs
The driver listed on the rental contract is the one who drives, and that driver needs a valid license and personal insurance. On tour that is worth settling early, since overnight legs are when a second pair of hands starts to sound appealing.
If you would like a backup driver on the paperwork, get in touch before pickup and we will walk through the options with you. Call or text 615-336-7995.
Build the schedule around that too. An eight-hour drive after a full load-out is a different ask than the same eight hours on a day off.
If the party is big enough that the drive should be shared out over more bodies and more room, the 15-passenger Sprinter van rental gives you the most seats and the most room. Smaller parties are just as well served by the 12-passenger.
Gears and features
Gear and Backline Space in a Music Tour Van Rental
Behind the seats you have roughly a 4x4x5 area for luggage and gear. One row of seats can come out if you need more room, and one row is the maximum.
Set your headcount against your gear list before you book, not in the lot at pickup.
For a full backline, add a trailer. Our 5×10 and 6×12 enclosed trailers pull behind the Sprinters, and enclosed means solid walls and a roof rather than an open flatbed.
Every van has a tow hitch, so the trailer question is about how much you are hauling, not about which van you reserved. Ask us about sizes when you book, or see everything we rent on the homepage.
The practical win shows up at load-out. Everything goes back in one place and leaves with the band.
No second trip, no cases waiting at a venue while half the party drives ahead.
When is not fit
Touring RV Rental Rates and Booking in Nashville
Each bunk is its own space with its own reading light, so one person can stay up without lighting the van for everyone else. A driver curtain separates the cab from the back, which keeps dash lights and oncoming headlights out of the sleeping area and gives whoever is driving some quiet.
We will be straight about the limit of that. This is a van, so you will hear the road and you will hear each other.
Renters who sleep best are the ones who packed earplugs and an eye mask.
Rental Terms
Tour Van Rental Terms Before You Leave the Nashville Lot
The oil interval
On long trips the renter changes the oil every 10K miles. Budget for it and keep the receipt.
It is not a surprise charge at drop-off, it is a maintenance step you handle on the road.
The deposit and the dates
A $100 deposit and a credit card on file are required to book. Rentals run a three-day minimum, with the six-bunk touring van at a one-week minimum.
If dates move, give us more than 48 hours’ notice. With less than 48 hours’ notice, you are charged for two days.
The renter is also financially responsible for any damage to the van.
Long runs and leaving a car behind
If the routing runs a month or longer, ask about Long Term Rental Discounts at one, two, and three months, plus sublease contracts, meaning a longer written agreement where you hold the van for an extended term instead of renting day by day. That booking is a long-term van rental.
There are also one to two spots at the lot for a renter’s own car if somebody flies in and leaves one behind.
Music Tour Van Rental Questions
How far ahead should we book a run?
As soon as the routing is confirmed, since rentals are first come, first served. Festival weeks and holiday weekends fill early, and the 15-passenger vans go first.
Do you charge mileage?
No. We do not charge for mileage, so drive across town or across the country and the number you booked is the number you pay. There are no hidden fees either, though Tennessee sales and rental tax applies on top of the rental itself.
Can the routing cross into Canada?
Yes. Canada is the only international destination we permit, so tell us when you book and we will get it on the contract before you leave the lot.
Do we need a trailer, or will the gear fit in the van?
Suitcases, a merch tote, pedalboards, and small cases fit in the roughly 4x4x5 space behind the seats, but a full backline of cabs, drums, and road cases goes in a trailer. Every van is hitch-equipped, and we rent 5×10 and 6×12 enclosed trailers for an additional charge.
Is there a better rate on a long run?
Yes. Long Term Rental Discounts start at one month, with two- and three-month tiers and sublease contracts past that, where the van stays assigned to you for the whole term instead of renting day by day.
What is your breakdown policy?
Every van we rent is fully insured and carries Roadside Coverage with AAA, so call or text 615-336-7995 the moment something feels wrong rather than attempting a fix yourself. On a long routing, the renter changes the oil every 10K miles.
